A growing coaching institute runs on more moving parts than most people realise: admissions enquiries, batch schedules, test scores, fee status, and daily attendance. We brought all of it into one portal so the team could stop stitching together spreadsheets and messaging apps.
Running a coaching institute on disconnected tools
Most institutes manage their day on a patchwork: a spreadsheet for enquiries, a separate one for marks, a WhatsApp group for schedules, and a register for attendance. As student numbers climb, that patchwork starts to leak — a lead goes cold because nobody followed up, a parent is not told their child missed class, a test result takes a week to reach the student.
Proxima needed a single system where admissions, teaching, and operations could see the same information — and where routine communication happened automatically instead of by hand.
One portal for admissions, teaching, and operations
We built a full-stack platform with three connected surfaces. An admin dashboard runs the day-to-day. A lead conversion funnel captures admission enquiries and moves them through to enrolment. And a student portal gives learners their schedules, updates, and results in one place.
On top of that sits an online test framework that does more than score papers — it surfaces each student’s weakest topics so teachers know exactly where to focus. Biometric attendance is wired to automatic SMS alerts, so a missed class reaches a parent the same day without anyone lifting a finger.
